Sign Up for Early Access. If you sign up for early access, we ask you for your name, email address, company name, and any information you choose to provide in your message.

Communications. If you contact us directly, we may receive information about you, such as your name, email address, the contents of a message or attachments that you may send to us, and other information you choose to provide. When you communicate with us online, third party vendors receive and store these communications on our behalf. When we send you emails, we may use embedded pixels or other technologies to track information about your receipt and interaction with our emails, such as whether and when you open them, whether you access any links included in our emails, how long you read our emails, whether you forward our emails and to whom, your Location Information (described below), and your Device Information (described below), to learn how to deliver a better customer experience and improve our Website, and our services.

Careers. If you decide that you wish to apply for a job with us, you may submit your contact information and your resume online. We will collect the information you choose to provide on your resume, such as your education and employment experience. You may also apply through LinkedIn. If you do so, we will collect the information you make available to us on LinkedIn.

Account Information. When you create an account, we collect your name, email address, password, and other information necessary to establish and maintain your account.

Case Information. We collect information about your divorce case that you provide to the Platform, including case participant information (names, email addresses, roles), case documents, timeline events, notes, and other case-related information you choose to store in the Platform.

Communication Information. If you communicate with us, we may receive information about you, such as your name, email address, the contents of a message or attachments you may send to us, and any other information you choose to provide.

Payment Information. When you purchase or subscribe to our Services, we may collect your billing information, such as your credit card number, expiration date, and billing address, or use a third-party payment processor to process your payments.

Gmail Integration Information. When you connect your Gmail account to our Services, we collect and store email data from your Gmail account, including email messages (subject lines, body content, and metadata), sender and recipient email addresses (from, to, cc, bcc fields), email timestamps and dates, email attachments and their content, and Gmail message IDs and thread IDs for synchronization ("Gmail Information"). We only collect emails that involve participants you have explicitly configured as relevant to your divorce case (e.g., your ex-spouse, attorneys, mediators, court personnel).

Support Information. When you contact us for customer support, feedback, or inquiries, we may collect your name, email address, phone number, and any other information you provide us or that we need to resolve your request ("Support Information").

How We Use the Personal Information We Collect

We use the personal information we collect:

  • To provide, maintain, improve, and enhance our Website;

  • To understand and analyze how you use our Website and develop new products, services, features, and functionality;

  • To communicate with you, provide you with updates and other information relating to our Website, provide information that you request, respond to comments and questions, and otherwise provide customer support;

Gmail Integration

Gmail Data We Collect

When you choose to connect your Gmail account to the Deliberately.ai Platform, we collect and process the following Gmail data:

Email Messages: Complete email content including subject lines, message body (text and HTML format), and email headers

Email Metadata: Sender email addresses, recipient email addresses (To, Cc, Bcc fields), email timestamps and dates, Gmail message IDs and thread IDs for synchronization purposes

Email Attachments: Files attached to emails, including their content, filenames, and file types

Synchronization Data: Gmail history IDs and push notification data to enable real-time email updates

Filtered Collection: We only collect and process emails that involve participants you have explicitly configured as relevant to your divorce case. These typically include your ex-spouse or opposing party, your attorney(s), opposing party's attorney(s), mediators, court personnel, and other case-relevant contacts you specify. We do not collect or process emails that do not involve these configured participants.

How We Use Your Gmail Data

We use your Gmail data exclusively for the following purposes within the Deliberately.ai Platform:

Case Organization: Organizing and categorizing emails by divorce case for easier case management and reference

AI-Powered Analysis: Providing AI-powered case analysis and personalized guidance based on the content and context of your case-related communications

Timeline Construction: Creating chronological timelines of case-related communications to help you understand case progression and track important dates

Search and Retrieval: Enabling you to search across all case-relevant emails to quickly find specific communications or information

Document Processing: Processing email attachments as case documents for analysis, storage, and reference within your case files

Participant Identification: Identifying and filtering communications from relevant case participants to ensure you see only pertinent correspondence

Historical Context: Building comprehensive case history from past communications to provide better context for AI assistance and case analysis

What We Do NOT Do With Your Gmail Data:
  • We do NOT send marketing emails or communications using your Gmail data

  • We do NOT sell your Gmail data to third parties, advertisers, or data brokers

  • We do NOT share email content with external AI model providers (all analysis happens within our secure infrastructure)

  • We do NOT use your Gmail data to train general-purpose AI models or for any purpose beyond your individual case management

  • We do NOT send emails on your behalf or modify your Gmail account in any way

  • We do NOT delete messages from your Gmail account

How We Store and Protect Your Gmail Data

We implement multiple layers of security to protect your Gmail data:

Encryption:

• All Gmail data is encrypted at rest using industry-standard AES-256 encryption
• Data in transit is protected using TLS 1.3 or higher encryption
• OAuth refresh tokens are encrypted separately from email content using additional encryption layers

Access Controls:

• Gmail data is stored in user-isolated database partitions with strict access controls
• Each user's data is logically separated and cannot be accessed by other users
• Access to your Gmail data requires authentication through Auth0 with optional multi-factor authentication (MFA)
• Administrative access to Gmail data is logged, monitored, and restricted to authorized personnel with legitimate business needs

Infrastructure Security:

• Infrastructure hosted on secure, SOC 2 compliant cloud platforms (AWS and Google Cloud Platform)
• Regular security audits, vulnerability assessments, and penetration testing
• Automated security updates and patch management
• 24/7 infrastructure monitoring, intrusion detection, and incident response

API Security:

• Push notification webhooks secured via Google Cloud Pub/Sub with IAM access controls
• OAuth tokens refreshed only through Google's official OAuth2 token endpoint
• API rate limiting and abuse detection to prevent unauthorized access

Data Minimization:

• We only collect emails involving configured case participants
• Historical sync limited to past 90 days by default (configurable)
• Automatic filtering excludes irrelevant communications before storage

Your Control Over Gmail Data

You maintain complete control over your Gmail data at all times:

Revoking Access
You can disconnect your Gmail account and revoke our access at any time through multiple methods:

Within the Deliberately.ai Platform:

  1. Navigate to Settings → Connected Accounts

  2. Click "Disconnect" next to your Gmail account

  3. Confirm disconnection

Through Your Google Account Settings:

  1. Visit Google Account Permissions

  2. Find "Deliberately" in the list of connected apps

  3. Click "Remove Access"

Effect of Revoking Access:

• All future email synchronization stops immediately
• We can no longer access your Gmail account
• Previously synced emails remain in your Deliberately.ai account (see Data Retention below)

Data Deletion

You have several options for deleting your Gmail data from the Deliberately.ai Platform:

Disconnect Gmail Account:

• Stops future synchronization
• Previously synced emails remain accessible in your account
• Emails are retained according to our data retention policy (see below)

Delete Specific Emails:

• You can delete individual emails or threads from within the Deliberately.ai Platform
• Deleted emails are removed from your account within 24 hours
• This does not affect your original emails in Gmail

Delete All Synced Emails:

• Contact support@deliberately.ai to request deletion of all synced emails
• We will delete all Gmail data within 30 days of your request
• This does not affect your original emails in Gmail

Delete Your Deliberately.ai Account:

• Navigate to Settings → Account → Delete Account
• All associated Gmail data is permanently deleted within 30 days
• This action is irreversible

Data Retention

Active Connection: Synced emails are retained as long as your Gmail connection remains active and you maintain an active Deliberately.ai account

After Disconnection:

• Synced emails remain accessible in your account for 30 days to allow you time to export or review
• After 30 days, emails are archived and no longer accessible through the platform
• Archived emails are permanently deleted from all systems after 90 days

Immediate Deletion: You can request immediate deletion at any time by contacting support@deliberately.ai

Account Deletion: All Gmail data is permanently deleted within 30 days of account deletion, with no recovery option

Data Export

You can export your synced Gmail data at any time:

  1. Navigate to Settings → Data Export

  2. Select "Email Data"

  3. Download a ZIP file containing all synced emails in standard formats (.eml or JSON)

  4. Export includes all email metadata, content, and attachments

Gmail Data Sharing

We are committed to protecting your privacy and do not share your Gmail data with third parties except in the following limited circumstances:

Service Providers

We may share Gmail data with trusted service providers who assist in operating the Deliberately.ai Platform, including:

• Cloud Infrastructure Providers (Amazon Web Services, Google Cloud Platform): Store encrypted data on secure servers
• Database Providers: Host encrypted databases containing email data
• Authentication Services (Auth0): Manage user authentication (do not have access to email content)
• Monitoring Services: Monitor system performance and security (receive only anonymized logs without email content)

Important Protections:

• All service providers are bound by strict data protection agreements
• Service providers are contractually prohibited from using your Gmail data for their own purposes
• Service providers cannot access unencrypted email content
• We conduct regular security audits of our service providers

Legal Requirements

We may disclose Gmail data if required by law, including:

• In response to valid court orders, subpoenas, or other legal process
• To comply with applicable laws and regulations
• To protect our rights, property, or safety
• To protect the rights, property, or safety of our users or the public

In such cases:

• We will notify you of the request unless prohibited by law
• We will challenge overly broad or inappropriate requests
• We will disclose only the minimum data necessary to comply with the legal requirement

With Your Explicit Consent

We may share Gmail data with third parties if you explicitly consent, such as:

• Integrations you authorize (e.g., sharing specific emails with your attorney's case management system)
• Export features you use to download your data
• Collaborative features you enable with other users

You can revoke such consent at any time through your account settings.

What We Do NOT Share

We explicitly do NOT:

• Sell your Gmail data to advertisers, data brokers, or any third parties
• Share email content with AI model providers for training purposes
• Use your Gmail data to train general-purpose machine learning models
• Share your Gmail data for marketing purposes
• Provide access to your Gmail data to other Deliberately.ai users (unless explicitly authorized by you)

Google API Services User Data Policy Compliance

Deliberately.ai's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

Minimum Necessary Scopes: We only request the https://www.googleapis.com/auth/gmail.readonly scope, which provides read-only access to your Gmail messages. We do not request broader scopes that would allow us to send, modify, or delete emails on your behalf.

Disclosed Use: Gmail data is used only for the features and purposes disclosed in this Privacy Policy and presented to you when you connect your Gmail account through our OAuth consent process.

Limited Transfer: We do not transfer Gmail data to third parties except as explicitly disclosed in this Privacy Policy (service providers under data protection agreements, legal requirements, or with your explicit consent).

No Selling: We do not sell Gmail data to advertisers, data brokers, or any third parties for any purpose.

Human Review: Human review of your Gmail data occurs only in the following limited circumstances with appropriate safeguards:

• When you explicitly request customer support assistance related to email synchronization issues
• For security purposes when investigating potential abuse, fraud, or security incidents
• When required by law or legal process

In all cases of human review:

• Access is logged and monitored
• Access is limited to authorized personnel with a legitimate business need
• Reviewers are bound by strict confidentiality obligations
• You can request information about any human review of your data

Secure Data Handling: We implement appropriate administrative, physical, and technical security measures to protect Gmail data from unauthorized access, use, disclosure, alteration, or destruction, as described in the "How We Store and Protect Your Gmail Data" section above.

Your Choices

Marketing Communications. You can unsubscribe from our promotional emails via the link provided in the emails.  Even if you opt out of receiving promotional messages from us, you will continue to receive administrative messages from us.

Do Not Track. There is no accepted standard on how to respond to Do Not Track signals, and we do not respond to such signals. 

Third Parties

Our Website may contain links to other websites, products, or services that we do not own or operate. We are not responsible for the privacy practices of these third parties.  Please be aware that this Privacy Policy does not apply to your activities on these third-party services or any information you disclose to these third parties.  We encourage you to read their privacy policies before providing any information to them.

Childrens Privacy

We do not knowingly collect, maintain, or use personal information from children under 18 years of age, and no part of our Website is directed to children.  If you learn that a child has provided us with personal information in violation of this Privacy Policy, then you may alert us at support@deliberately.ai.

International Visitors
